Each clinic will have their own website, which they can customize to more powerfully reflect what they offer for their clients. Branding and personalizing your website can enhance a clients’ experience, provide exposure to their services and eventually get more clients to sign up.

To setup your website, you can go to the “Clinic Profile” screen. From there, you add your clinic logo, clinic name, the email that you will use to receive notifications and a summary about your clinic. It is a good idea to add a cover image for your clinic, as it adds a nice touch to your website. Another two important fields to complete are the address and contact info fields. These also show up on your website and are important for your clients to find you and know ways to contact you. You can add multiple entries for each field.

When your website is all setup, we recommend sending invitations to your existing clients. When they sign up, they will receive the Part 1-survey automatically that the can fill. They won’t necessarily have to submit it if they don’t want to, but this way they can recommend it to others who might need such assessment. You can also share your website on other platforms where you think more potential clients will be intrigued about your services and might be willing to sign up.

Once a client signs up and submits a survey, your clinic will receive a notification email. Instantly, their survey will then go through an analysis phase, where all the numbers are summed up and clear view of the results is prepared using computerized mechanisms. Then, a list of nutritional and herbal products will be recommended, and finally the survey will be ready for your clinic to review. At this point, all the results of the analysis are not still available to the client, so the clinic has control on the results the client will eventually see.

After you review the client’s survey, you can add your own comments and prepare a recommendation to your client by selecting products from the suggested list.You are not controlled or limited by the products suggested after the analysis, as you can add products from the additional nutrition section. For each product, you can enter your own pricing, your specific comments and dosing details in the way that suites your client.

Once your client gets their recommendation, they can chose to create an order within PhysiciansHR. They can customize how many bottles they want from each product within the range of number that you suggested, and both you and your client will be notified whenever your attention is needed. PhysiciansHR will soon have the capability to invoice and accept payments for these orders, but for now, the clinic is responsible to invoice, accept payments and contact Standard Enzyme for client orders.

Our platform supports team work! Your staff can use clinic services to work with your clients at different stages of their assessment process. For example, your receptionist can work on sending invitations to clients and share your clinic website on other platforms to spread the word about your clinic services. Your clinic nurse can follow up with those who have created an account and started their survey.

After the results of automated analysis are ready, the clinic doctor or professional can quickly review the results and add any results or comments they have for the client. They also can select the products they want to recommend to the client. After that point, your clinic nurse can follow up with the client on the product recommendation process until it is completed. Work pertaining to this platform can be split between multiple employees, which insures a high quality of service at each stage and helps each employee stay focused with their part of the process. At the same time, it makes sure the employees can do their normal daily tasks at the clinic, without being fully consumed with the follow up work they are doing on PhysiciansHR.

Adding accounts for your staff at your clinic is really simple! Just send them an invitation from the employees section and they will receive an email, which they can use to follow up and finish creating an account. Once this is completed, the employees will have access to your clinic features and be able to work with clients right away.

We understand the importance of your brand in expanding your business. PhysiciansHR is built in a way to enhance your brand and strengthen it.

Starting with clinic website and your URL, your website is fully customizable by you. When clients visits your website, they see no reference to PhysiciansHR services. Everything you mention in your website and all the services that you offer either performed by your clinic or by PhysiciansHR is being presented to your clients as your own.

Once your clients sign up and starts using our platform, the whole website is branded by your clinic name and logo. The access rights comments and section are also directed to your clinic and every report generated by any of your clients will be also branded with your clinic. Additionally, all the email notifications that your clients get are also branded for your clinic, so your client will work with your clinic only and have no interaction with any of PhysiciansHR activities.

Another important aspect to highlight is the privacy of your data, for both you and your clients. Your interaction is only available to the both of you and not to anyone else. No other client will have access or knowledge about any other clients at your clinic. Only your clinic will have access to all clients data. The interaction between PhysiciansHR and your clinic will not be visible to your clients and any services we offer to your clinic that your clients may directly benefit from will appear to your client as part of your clinic services. All the results we generate and the products we recommend are editable by your clinic before it reaches your client.

How to use symptoms survey in the best way possible

The first thing your clients should be doing after signing up is filling out a symptoms survey. PhysiciansHR creates a survey automatically after clients sign up (unless you change the preferences settings) and sends them a notification email.

The first thing you need to do is to make sure they fill it out and help answer any questions they might have.

If your clients don’t finish their survey, you have the option of sending them a reminder email, which you can do right from PhysiciansHR.

The next step would be for your clients to submit a completed survey. After submission, their survey will be automatically analyzed and you will receive an email notification, which prompts you to review the results. You will have access to the overview of the results and a list of products that are beneficial to your client based on those results. Look at the results in the Statistics section and also in the health concerns section and add your own comments in the Survey Results section. The client will not be able to see the names of the groups, so having the comments in the Survey Results section is one of the most important aspects the client will be looking for. You can create a recommendation tailored to meet your client’s needs using the list of suggested products and any additional products from a drop down list.

Recommending a list of products for your client is very important to move them from the assessment to the step of using products, which can help them with their symptoms. Our platform helps you create a recommendation and schedule they can use to understand how to use their product.

For clients who continue on this process further, they can re-order the same products again or you can create another survey (Part 1 or Part 2) survey to re-evaluate their health and work on additional health concerns they may have.

Complete flexibility in the way you charge your clients

Like any other business, it is important to be able to collect charges for the services you offer to your clients.

We at PhysiciansHR understand this and are offering many options that give you the flexibility of controlling how you want to do business with your clients.

In the “Payment Settings” section, you will find two sections. In one section, labeled “Payment Method,” allows you to determine the different payment methods you would like to use. You can select a default payment method as well. In the second section, labeled “Accept Clients Payments Online,” you have full control on how you handle payments from your clients. To use this section, you must create an account with “Stripe,” one of the best and most trusted payment processors available.

Regarding charging your clients, you can collect your charges from them directly, or you can use PhysiciansHR’s payment services to collect your charges automatically. You can even customize this setting for each client separately, by accessing the client’s profile. There is also an option for setting the default survey report price. PhysiciansHR provides a clear view of PhysiciansHR fees, Stripe fees and the total amount you will receive, which can help you figure out how much you need to charge your clients. This price is also customizable for each client. In general, you can set your default payment settings for your services, however, you can change it for specific cases when you need to.

Collecting charges for services you offer can also include payments for products you recommend to your client. Some clinics advertise a higher price for the survey, but the price includes an amount going towards a product credit. We continue to work to achieve the most flexibility in charging and accepting payments within PhysiciansHR.

How to use nutrition recommendations and what options are available

One of the most important aspects of PhysiciansHR is its nutrition recommendation process. This begins when the automated analysis on clients’ survey are performed. Our platform will then suggest the supplements based on the client’s results. You can follow this process to create a nutritional recommendation by selecting the suggested supplements that you would like to include. Our platform also gives you the flexibility of adding any or all of the suggested supplements or recommend other supplements from an extensive list.

After including the supplements to place on the clients’ schedule, you are given several options allowing you to customize all the details about each supplement, like its form, size, price, usage comments and a default dosing schedule. This way, you have 100% control on the results your client will receive. You can also customize the product details, so your client can use it in the best way possible.

Each product that is recommended will have default values for its form, size and other properties. However, you still have the flexibility of changing these values. PhysiciansHR will remember your preferences and price changes and these will automatically save for each future nutritional recommendation you work on.

Your clients can order products you recommend, learn how

The nutritional supplementation that you create for your client is still considered to be a suggestion to your client and doesn’t represent the actual process of ordering the products. PhysiciansHR gives the client the ability to create an order based on their nutritional suggestions. This gives your client the flexibility of looking at their products from another perspective, with quantity and price details only.

Your clients will have the flexibility of changing the number of bottles they want to actually buy, but it has to be within the range you specify. They can choose to include or remove products, which reflects the clinic retail prices you set. Eventually, they can confirm their order when they are ready. Once they confirm their order, your clinic will get an email notification and you can change the status to the order, indicating “In Progress” (you are working on it) and when it is completed, changing its status to “Done” (indicating that you either handed the order to the client in person or that it was shipped).

All the orders your client makes will be listed under their profile, so you will have a clear idea of the orders they made for your records.

Making sure you and your client are updated is one of the most important factors to the success of the interaction you have in PhysiciansHR. This why PhysiciansHR sends a notification email to you, or to your client, whenever attention is needed.

In some cases, you can use PhysiciansHR “Reminders” to notify your client about a certain action that they need to take.

One of the most important factors about notifications is branding. All the emails that PhysiciansHR sends on behalf of your clinic are branded with your clinic info. With the attention to detail, your client’s interaction will always be with your clinic and not with PhysiciansHR.
