How to remind a client about their survey?

If you need to remind your client about filling out their survey or reviewing it when the results are available then you can do so by following these steps:

  • Go to PhysiciansHR
  • Sign in with your account details.
  • In the menu on the left side, click on “Survey Reports”
  • Click on the survey name for the client you need to remind.
  • When the survey opens up, at the top and to the right there will be a button called “Send reminder”, clicking on it opens up a panel on the right side where you can modify the default message that is already available, when done, click the “Send” button and an email will be sent to your client.

What happens when a client submits their survey?

When your clients are done with their survey filling process and they submit it, you will get an email notification about their submission. An automated analysis process will be performed, where all the totals, scores and percentages are generated and a list of suggested supplements are produced based on the survey results. Then it will be ready for your clinic to review. No results will be visible to your client before you post it back to them.

During your review process, you can go to the “Survey Results” and add your own comments or suggestions to your client. You can also create a nutrition recommendation with a list of supplements that you choose from the suggested ones or you can select other supplements from the list as well. After approving the nutritional recommendation, you can post the survey back to your client. The client will be notified by email and be prompted to view their results.

From a payment point of view, notice that when your client submits their survey, your card on file will be charged with PhysiciansHR fees for survey processing. If you required your client to do online payments, their card will be charged and your clinic will be paid automatically for the survey processing you offered to your client.

What should i do after a client submits their survey?

When your client submits their survey, you need to review it, add your comments in the Survey Results section and also create them a nutrition recommendation, both of these will show up in their final reports and they will be looking for them to understand their overall health status.

Following your review, you need to post the survey back to your clients, they will review it and then you can proceed with them on creating a supplements order or filling out a more advanced survey and going for a full test for their symptoms.

What is nutrition recommendation?

Nutrition recommendation is a list of nutritional and herbal supplements that you recommend to your clients in other to help them with their current symptoms, the recommendation will be considered as a suggestions until your clients confirm they want to create an order based on it, the recommendation process starts with a list of suggested supplements that we recommend based on the client’s survey, you can select the products we suggest or create your own recommendation list.

How to create a nutrition recommendation?

To create a nutrition recommendation, follow these steps:

  • Go to PhysiciansHR
  • Sign in with your account details.
  • In the menu on the left side, click on “Survey Reports”

  • Click on the survey name for the client you need to create a recommendation for.
  • Scroll down to the “Nutrition Recommendations” section and click “Create nutrition recommendation”.

  • A new recommendation screen will show up with a list of the suggested supplements, you can choose to select from the list or to skip this step.
  • You can then add other supplements by clicking the button “Add nutrition” where a list of supplements will appear in a panel on the right side with full details available on each supplement.

  • When done, you need to click the “Save” button to save your changes, at this point, the recommendation is still a draft and will not be visible to your client.
  • When you are ready, you can click the “Send to client” and your client will get a notification and they will be able to see their recommendation.
  • Notice that for the recommendation to be visible to your client their survey must be submitted to them too.

Pricing

How to customize my retail product prices?

During the creation of a nutrition recommendation, products will be listed in cards. Inside each card, there will be multiple set of details that you can customize, including your retail price. Upon the first use of a certain product, the price field will be empty. Once you set and use that price, it will be saved and automatically loaded the next time you use this product.

For each product used, a statement will show up indicating the wholesale price of that product as it is defined by its supplier. Also, at the bottom of the recommendation, there will be a total price for the whole recommendation (no taxes/shipping fees included).

All the modifications you perform regarding pricing or dosing will be saved and automatically filled in the blank spaces the next time you use this product.

What are supplement orders and how do they work?

Supplement order is a confirmation from your client that they want to order the products you recommended for them, your clients can create an order based on a recommendation you sent them, during the order creation, they will have full details on your pricing and they products they are ordering, also, they can choose to define the quantity of a certain within the range of quantity that you define or remove a certain product from the list.

After they submit their order, you will be notified and you can review the order and put it in progress, your clients will be notified so they are aware of their order status, when done you can change the status to done and they will be notified too.

How to document my client’s survey?

PhysiciansHR gives you and your client the ability to document your work by providing printable PDF reports that contains all the details that you have. You can create reports for survey, recommendation and orders, for some of them there are basic and detailed versions of the report, to give you the flexibility of documenting what you need.
